The Position Overview

The Executive Assistant’s main function is to provide high-level support to the CEO, Kristen Moreland. The goal of this position is to own and lead administrative tasks, both business-related and personal, enabling the CEO to focus on actions related to client delivery and business development. In short, your role is to continually find ways to save Kristen Moreland time by coordinating her business and personal calendars, communicating with team members, vendors, and personal contacts and attacking the growing to-do list of a rapidly expanding business. This is a full-time position and reports directly to the CEO, while also working closely with members of her team.

We are seeking a calm yet agile, detail-oriented Executive Assistant who is fueled by providing top-notch service, enjoys collaborating with team members and who has experience supporting entrepreneurs who often pivot directions. If you live within a 45-minute drive to Indianapolis and are looking to utilize your superior organizational skills and talents that allow you to contribute to a premier organization, we invite you to apply. You must be available to work in person 5 days a week if needed. Some weeks may be flexible and fewer in-person days may be required. You may also work virtually and occasional weekend hours may be required for client facilitations.

At SMS, Kristen is joined by a diverse team of strategists, project managers, researchers, and facilitators—each with distinct expertise in nonprofit governance, government relations, education systems, community development, and organizational design. Together, the SMS team delivers customized, actionable strategies that help organizations clarify their vision, align stakeholders, and drive measurable impact. The Role

Manage/organize the CEO’s very active business and personal calendars to maximize her efficiency in a manner that honors long-standing commitments while incorporating new demands as they arise. Provide attention to detail as you prepare documents and various correspondence leading to long-term screening and execution of email and website inquiries. Evaluate the priority of incoming correspondence and redirect to the extended team accordingly

and maintain electronic filing systems. Organize logistics for clients such as meetings, special projects or events, community engagement events, including CEO business and personal travel, group reservations, transportation and amenities. Provide assistance in the creation of communications to various recipients (Vendors and suppliers, extended team members, community at large). Assist in the preparation of multimedia presentation materials and

collateral. Complete various administrative duties as required, such a process and invoices, general inquiries, company mailings, shipments, and deliveries. Provide support to marketing campaigns and social media, assist in the meetings by providing real-time note taking.

What A Typical Day May Look Like

A typical day for an Executive Assistant supporting Kristen would be fast-paced, detail-oriented, and critical to keeping the firm running smoothly. The day might begin by reviewing Kristen’s calendar to confirm meeting logistics, prep materials for a client session, and ensure any travel plans are finalized—whether it’s a retreat in southern Indiana or a board meeting downtown. Throughout the day, the Executive Assistant fields incoming communications, prioritizes messages, and drafts or polishes correspondence on Kristen’s behalf. They might also help manage project timelines, coordinate with subcontractors or partners, and update client files or deliverables. Administrative tasks could include processing invoices, submitting reimbursements, updating client records, and tracking proposal deadlines or contract renewals. On the personal side, the Executive Assistant might help Kristen

coordinate her family schedule—sending a quick reminder about a PTO meeting or helping plan logistics for a school event. In short, they serve as a trusted right hand—anticipating needs, reducing friction, and creating space for Kristen to focus on high-level strategy and client relationships.
